CREATE A MEETING
The system allows you to create specific meeting templates for different meetings. With the use of the templates, creating new meetings becomes a breeze. PRIOR TO A MEETING
Issues can be entered at anytime by clerks, managers, and the public. Issues are entered into a standard template or a template created for recurring agenda items. Once issues are approved they become items on the agenda. They can be dragged and dropped for instant resequencing.
Once the agenda has been approved it becomes the template for the meeting minutes. Call2Order’s auto notifications are sent out to let everyone know the agenda has been approved. The agenda can now easily be published to your website.
DURING THE MEETING
At the commencement of a meeting you can effortlessly take attendance by checking off the list of invitees. During a meeting the intuitive design allows you to quickly select agenda items and record minutes below them. You can create customized buttons that will allow you to instantly add standard text. To save time Call2Order saves the minutes for you automatically. You can use the time snaps to record the order of discussions. Resolutions are easily created and motions and votes can be recorded against them. Action items can also be created during the meeting and assigned to one or multiple people at once, completion dates can be assigned to action items.
FOLLOWING THE MEETING
Once the meeting has come to a close the minutes are still easily editable. After the editing process the minutes enter into an approval process, with auto notifications sent out once they’ve been approved. Call2Order then archives a PDF copy of your minutes and publishes them to your website. Minutes, agendas, issues, and resolutions are later easily found using the search capabil ities. Reports can be created on issues, agendas, action items, and minutes.
